It converts interest into a confirmed, trackable attendee record and serves as the operational foundation for headcount, logistics, and post-event follow-up.

Publish it as soon as the event date, venue, and format are confirmed — the longer registration is open, the more data you have to plan logistics accurately. For in-person events with catering or venue minimums, close registration five to seven days before the event date. For virtual events, keep it open until an hour before the start time to capture last-minute signups from reminder email clicks.

A conference registration form handles multi-day complexity: ticket tiers, session selection across multiple tracks, and large-scale catering logistics. A workshop registration form focuses on skill-level assessment and material preparation for hands-on sessions. A general event registration form is the flexible middle ground — it covers the core fields every event needs without the specialized structure that would make it too rigid for a one-off gathering or a recurring community meetup.

Use an attendance format selector as an early field, then apply conditional logic to show format-specific fields only. In-person attendees see dietary preference and accessibility requirement fields; virtual attendees see a time zone selector and technical requirements field. Each format triggers a different confirmation email with the relevant venue address or joining link, so every registrant receives instructions appropriate to how they are attending.

Use a multi-select checkbox field for common dietary requirements — vegetarian, vegan, gluten-free, halal, kosher — paired with a short open text field for anything not listed. Add a separate accessibility requirements field as a plain text input rather than a checkbox list, since accessibility needs are too varied to anticipate with predefined options. Making both fields optional but clearly labeled signals that the organizer takes these needs seriously without making attendees feel singled out.
