Send it after an initial viewing confirms the applicant is genuinely interested — not before. For high-demand properties with multiple inquiries, set a clear application deadline of three to five days so you can compare candidates simultaneously rather than sequentially. Processing applications one at a time is the most common reason good tenants are lost to faster-moving landlords.

Include full legal name, date of birth, current and previous addresses for the past three years, Social Security or national ID number, and an explicit written consent section authorizing the background and credit check. Missing the consent field is the most common reason screening service referrals are rejected, which delays the entire selection process.

Request at least two references: one from a previous landlord confirming payment history and tenancy conduct, and one professional or personal reference. For applicants without prior rental history — students or first-time renters — a guarantor declaration is a practical substitute for the landlord reference and should be included as an optional section in the form.

The terms are often used interchangeably, but a lease application form sometimes implies a more formal process tied directly to a specific lease document, common in commercial property contexts.
